Signings are won at the table and lost in the aftermath: a strikeover done wrong, a missed initial found at midnight, a package that sits in a trunk over a weekend. Error protocol and shipping discipline are what separate rehired agents from replaced ones.

Correcting errors correctly

Document errors (wrong date, misspelled entry) are corrected by the line-through method: a single line through the error, the correction written adjacent, initialed by the signer — never opaque correction fluid, never overwriting that hides the original. Certificate errors follow notarial law instead: a flawed notarial certificate is cured by completing a new certificate (or, for a discovered post-signing defect, a new appearance and new act) — the notary never 'fixes' a completed certificate after the fact, and never pre-signs or pre-seals replacements.

Incomplete packages and missing pieces

Discovered at the table — missing pages, duplicated documents, a certificate for the wrong state: call the hiring party or lender before improvising; print corrected pages where the e-doc protocol allows, or document the defect and follow instructions. Discovered after — the dreaded scan-back finding: respond immediately, schedule the re-sign if a new appearance is required (it is, whenever a new notarization is needed), and treat the correction appointment with original-signing formality: appearance, ID, journal, oath where applicable.

Scan-backs and shipping

Scan-backs — uploading critical documents immediately after signing — let the company verify completeness while correction is cheap; follow the instruction sheet exactly (which pages, which portal, what deadline). Then ship same day or per instructions by the specified carrier with the provided label, tracking retained. Funding timelines (and rescission calendars) sit downstream of your package: a Friday signing shipped Monday can move a closing date. Until shipped, the package is nonpublic personal financial data — locked, never left visible in a vehicle, never discussed.

Worked example

Saturday scan-back review finds two defects in your Friday refi signing: the borrower missed initials on the ARM rider page 2, and your jurat on the signature affidavit lacks your seal impression. The company asks for 'a quick fix by Monday.' What can be fixed how?

The missed initials: signer action — arrange to meet the borrower (or per company protocol have escrow handle it at their office); the borrower initials the rider; no notarial act is involved, so no new ceremony needed. The unsealed jurat: that is YOUR certificate defect — but the cure is not stamping the affidavit at your kitchen table Monday. The document must come back to you with the borrower where a new act is required; here, where the original oath and signature occurred before you and only the seal impression is missing, the conservative, instruction-driven path is a fresh certificate executed properly — and if the company's counsel wants a full re-sign, that means appearance, ID, journal, oath again. What you never do: mail them a loose, pre-sealed certificate to attach. Ship corrected pages per instructions, scan-back again, tracking retained.
